September was quite a busy month for VISTA Sean Enfield. As his organization, the Plano Children’s Theatre, prepares for its big move, Sean has been tasked with recruiting volunteers for the move as well as volunteers to help with the build out of the new space. He has been utilizing the organization’s online presence and talking with community service volunteers in order to get them involved in the Raised Seating Project. While that project is underway, he is still managing the day-to-day operations of the various theatres, their productions, and events. This month, he has recruited 32 volunteers for October’s Halloween fundraiser and the agency’s move and managed 9 volunteers on the production teams for the 11 shows that began rehearsals and 6 shows that performed. These volunteers have served 365 hours cumulatively at Plano Children’s Theatre.
In September 2017, AmeriCorps VISTA Business Development Officer Melanie Cheney helped bolster her organization’s total fundraised amount from North Texas Giving Day on September 14th. Through careful strategizing and posing a fundraising challenge to the Board of Directors, Cheney successfully helped raise nearly $9,000 more in 2017 than her organization raised in 2016 (increasing the total amount fundraised from $28,000 to $37,000). The money she helped raise will go toward tuition scholarships for children from low-income backgrounds, in fulfillment of North Texas Performing Arts’ vision of making arts education accessible to all North Texas families. In addition, Melanie strengthened the agency’s existing database of potential local donors for our silent auction fundraisers by adding over 20 new donor businesses to the spreadsheet and garnered in-kind donations worth $3,200.
In August 2017, VISTA Sean Enfield worked to improve the communication and relationships between the North Texas Performing Arts organization/staff and its volunteers while also continuing to standardize its volunteer practices. With such wide array of theatres and programming, the organization’s volunteer network is widely dispersed and hard to manage efficiently. As a part of his role with the organization, Sean has been working to ensure that all volunteers are aware of the rules and procedures while making sure they have some creative input and feel valued. Throughout August, he coordinated with volunteers across the four theatres and trained them for a variety of volunteer positions. This enables more volunteers to do the work and helps make sure the work is done consistently even as different hands take it over.
In August 2017, AmeriCorps VISTA Business Development Officer Melanie Cheney helped raise nearly $26,000 in matching funds to help motivate donors on North Texas Giving Day (September 14). By giving a presentation to the theatres’ Management Boards in July, Melanie secured donations from excited board members who are interested in raising as much money as possible on the day of the fundraiser. Her organization raised $28,000 total last year, so the fact that she was able to raise $26,000 in a matching fund alone, a month before the actual fundraiser, means that there is the potential to raise so much more this year.
VISTA Sean Enfield continued his efforts to train volunteers for the Plano Children’s Theatre (PCT). During the month of July, he helped organize, schedule, and run a workshop for the theatre’s high school interns, and he held another Training Workshop for the theatre’s production volunteer position. The production volunteer workshops covered the Set Build and Light/Sound coordinator volunteer positions. Since our volunteer roles are often combined with scholarships and tuition reimbursement, these volunteer roles help make theatre programs affordable to the patrons. Sean also continued management of PCT’s vast array of existing volunteers as the end of the summer ramps the theatre back into its busiest season. During the month of July, he recruited 15 new volunteers and managed 101 volunteers for a total of 389 service hours which saved Plano Children’s Theatre $9,768 in labor costs.
Volunteer Coordination VISTA Sean Enfield focused his efforts on expanding Plano Children’s Theatre’s (PCT) volunteer base through its summer intern program and a newly implemented Volunteer Training program. Both programs help make enrollment in productions and classes more affordable. PCT interns earn credits that can allow them to earn up $400 toward a future production, and volunteers often receive credits for the productions in which their child is cast. By expanding the reach of these positions, the theatre hopes to allow those who might be interested in theatre, but unable to afford it, an opportunity to participate with little to no financial involvement. Sean has developed trainings for two of the organizations vital volunteer positions and will eventually develop trainings for all positions. The goal is to minimize the stress in all of the positions and to acclimate new participants into the theatre community.
In June 2017, AmeriCorps VISTA Resource Development Officer Melanie Cheney serving with Plano Children’s Theatre helped deliver a presentation at the Plano Metro Rotary Luncheon that resulted in a $5,000 donation from the club. This donation will be used to pay for scholarships for underprivileged children who cannot otherwise afford tuition costs. This will allow children from low-income households to have access to enriching extracurricular arts activities that help teach valuable life skills (responsibility, discipline, integrity, etc.) and push them to become better students and citizens. Simply by bringing a few of our students to perform a couple songs at the Rotary Luncheon, we also received a $100 donation from a rotary member who was so moved by their performance that he attended the actual performance that weekend and wrote a letter detailing how thoroughly impressed he was by our students’ passion and skills. In 2016. Plano Children’s Theatre awarded 255 scholarships to underserved students, totaling $30,906.
In April, VISTA Sean Enfield recruited 20 new volunteers and managed 52 volunteers to help organize a number of events for the North Texas Performing Arts (NTPA) organization. He connected with the Plano chapter of the National Charity League to operate a crafting booth at the Shops of Willow Bend, a mall located in Plano, TX. This booth was used to reach kids and advertise for Plano Children’s Theatre’s eventual move into that retail center. In addition, he connected with National Honor Society chapters in the McKinney region to recruit volunteers for the last of NTPA’s award ceremonies. Throughout April, Sean worked to improve his volunteer recruitment and management skills. He developed a survey to distribute among the office staff weekly so that he can better prepare a list of Volunteer Needs, Opportunities, and Activities. He has also been working to improve communications among the existing network of parent volunteers, particularly as it pertains to the production volunteers.
The mission of the North Texas Performing Arts – Plano Children’s Theatre is to develop the character of youth through quality performing arts education and family entertainment. Plano Children’s Theatre offers full-ride scholarships to talented and less privileged children, provides complimentary tickets to charitable organizations, teacher groups, and school fundraising events and offers free programming at local community centers. Melanie Cheney, Resource Development VISTA, prepared and consolidated documents for an annual board meeting at North Texas Performing Arts. During this process, Melanie edited the documents for clarity, sorted the documents into easily understandable categories, and created binders for each board member in attendance (45 total). Cheney delegated some work to volunteers, so she was not only able to practice her editing skills, but also her leadership skills. In addition, Melanie played an instrumental role in raising $20,000 in private donations from patrons she met with in previous months. Monies raised will add to the current capital campaign for the Willow Bend Theatre and benefit low-income and special needs children through the agency’s programs. Melanie helps to solidify relationships with new and existing donors through prompt thank you letters of which she created templates for use by staff and volunteers. Melanie attended a meeting with representatives from the Hudson Foundation and established a relationship that will hopefully lead to consideration for future grant-giving.
